Services Overview - Digital Mail Solutions

With the advent of hybrid working and centralised service offerings, many of your staff may not be in the office. 

Whilst digital forms, such as through DocuSign and Adobe Sign, allow for digital signing processes, there are many documents, correspondence and contracts that need ‘wet’ signatures or are sent in the post to team members.

With a team that is either dispersed or working from home, sending physical mail can be a challenge. Even in a large office block, the delay between post landing and being received at someone’s desk can be lengthy. 

Hobs Integrated Services provides a solution for issue through our hybrid mail platform. 

Once the post is in the building, this is scanned and logged into our system, which then utilises Optical Character Recognition (OCR) and Intelligent Character Recognition (ICR) to understand the component parts of the letter. Combining this with captured Metadata, it automatically routes the post through a secure portal to the users account, and is stored securely in our DocuWare platform.

Once the user receives the notification that they have mail, they log on via single sign-on and can view their correspondence via DocuWare.

This ensures that mail delivered to them is received regardless of their physical location, providing access quickly and on demand.

Once in their portal they can print, copy or save the correspondence for future use.

We utilise this as part of our back office suite of solutions, including intelligent allocation of invoices.

We have full audit controls, and can use AI to enhance the usability, routing and life cycle of the correspondence.
